Facility Services, Inc. (FSI) is seeking an experienced Office Manager / Scheduler to serve as the operational hub for a healthcare facilities maintenance contract. In this key role, you'll oversee work control operations, coordinate maintenance scheduling, monitor contract performance, and provide administrative leadership that supports the successful operation of a mission-critical healthcare facility.

What You'll Do

As the Office Manager / Scheduler, you'll coordinate the daily flow of maintenance operations while ensuring work orders are accurately assigned, tracked, and completed in accordance with contract requirements. You'll work closely with project leadership, maintenance teams, Government representatives, and support staff to keep operations running efficiently.

Key Responsibilities

  • Manage the daily activities of the Work Control team, ensuring maintenance requests are accurately received, prioritized, scheduled, and dispatched.
  • Utilize the Defense Medical Logistics Standard Support System (DMLSS) to coordinate preventive and corrective maintenance activities.
  • Monitor work order completion, response times, and contract performance requirements.
  • Coordinate with the Contract Maintenance Manager, Operations & Maintenance Manager, Quality Control Manager, Safety Manager, HR Manager, and Shop Leads to support daily operations.
  • Prepare and distribute daily, weekly, monthly, and annual reports on maintenance activities and operational performance.
  • Track maintenance metrics, identify trends, and communicate project status to management and Government representatives.
  • Improve administrative workflows, reporting processes, and scheduling efficiencies.
  • Support Quality Control, Safety, and Supply reporting requirements.
  • Provide leadership and guidance to the work control and administrative support team while promoting accountability and exceptional customer service.
  • Coordinate with Government personnel, facility staff, and project stakeholders to ensure effective communication and contract compliance.
  • Support employee onboarding and offboarding activities by coordinating information technology equipment and access.
  • Assist with special projects and operational initiatives as assigned by project leadership.

What We're Looking For

We're looking for an organized and proactive professional who can successfully manage multiple priorities while supporting a high-performing maintenance team.

Required Qualifications

  • Experience using the Defense Medical Logistics Standard Support System (DMLSS) or similar computerized maintenance management systems (CMMS).
  • Minimum 2 years of experience supporting facilities operations, maintenance scheduling, work control, or dispatch functions, preferably in a healthcare or hospital environment.
  • Experience coordinating preventive and corrective maintenance activities.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent customer service, communication, and interpersonal skills.
  • Strong analytical and problem-solving abilities.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to learn and effectively utilize Maximo and other facilities management software.
  • Ability to interpret maintenance requests, preventive maintenance procedures, and service priorities to ensure timely work order assignment.

Preferred Qualifications

  • Experience supporting Department of Defense (DoD) or federal government facilities contracts.
  • Knowledge of healthcare facilities operations and maintenance.
  • Experience preparing operational reports, dashboards, and performance metrics.
  • Familiarity with quality assurance, safety reporting, and contract compliance requirements.
