Assistant Property Manager
Responsibilities:
• Manage vendor activities from scheduling through completion, confirm service quality, and follow up on unresolved issues until closure.
• Help maintain timely execution of operational assignments, recurring reports, and key property deadlines across the portfolio.
• Contribute to annual budgeting activities and assist with reconciliation processes related to property financials.
• Support monthly reporting by reviewing tenant billing details, rent schedules, and recurring charges for accuracy.
• Monitor outstanding receivables, communicate with tenants regarding past-due balances, and coordinate with collections contacts to support recovery efforts.
• Prepare and track tenant improvement documentation, confirming required items are in place before payments are released.
• Interpret lease provisions for new occupancies and verify that lease information entered into the property management system aligns with executed agreements.
• Assist with onboarding newly assigned properties by organizing due diligence materials, establishing records, and supporting operational setup.
• Respond to tenant and vendor requests in a timely and courteous manner, coordinate maintenance follow-up, and maintain records for inspections, warranties, insurance certificates, and compliance-related documentation.
Qualifications:
• Experience supporting commercial property management operations in an administrative or property administration capacity.• Working knowledge of lease documentation, tenant billing, receivables tracking, and vendor coordination.
• Ability to manage multiple priorities while meeting reporting deadlines and maintaining accurate records.
• Proficiency with property management software such as Yardi and confidence working with business systems and databases.
• Strong communication skills with the ability to interact effectively with tenants, vendors, and internal stakeholders.
• Familiarity with certificates of insurance, service agreements, and property compliance documentation.
• Prior exposure to leasing support, property financial reporting, or budget assistance is preferred.
