A rapidly growing, construction in Paramus, NJ is seeking an experienced Accounts Payable Manager to join its team. This highly visible position will oversee the full accounts payable function while ensuring subcontractor compliance requirements are met across multiple construction projects. The ideal candidate will have 5+ years of construction industry accounts payable experience and a strong understanding of subcontractor documentation, lien waivers, insurance tracking, certified payroll requirements, and job cost accounting. Responsibilities
Accounts Payable Management
- Manage the full accounts payable cycle, including invoice receipt, coding, approvals, and payment processing.
- Review and process vendor and subcontractor invoices for accuracy, completeness, and compliance with contract terms.
- Verify proper project and cost code allocation within the accounting system.
- Coordinate weekly and monthly payment processing.
- Maintain organized payment records and supporting documentation.
- Set up and maintain vendor files, including W-9s, insurance certificates, and vendor agreements.
- Reconcile vendor statements and resolve invoice discrepancies.
- Work closely with project managers and purchasing personnel to ensure timely invoice approvals.
Subcontractor Compliance Administration
- Maintain subcontractor compliance files for all active projects.
- Review and monitor insurance certificates, subcontract agreements, licenses, bonding information, and other required documentation.
- Track and obtain lien waivers, certified payroll reports, and prevailing wage compliance documentation where applicable.
- Ensure all compliance requirements are satisfied before payment is released.
- Monitor document expiration dates and proactively follow up on renewals.
- Assist with audits and documentation requests from public agencies, owners, lenders, and external auditors.
- Maintain accurate electronic and physical records of all compliance documentation.
Project Support & Financial Administration
- Support accounting and project management teams with project financial documentation.
- Assist with subcontractor payment applications and supporting backup.
- Prepare reports related to accounts payable activities, subcontractor compliance status, and outstanding documentation.
- Help improve internal controls and strengthen documentation procedures.
- Ensure company policies and regulatory requirements are consistently followed.
Qualifications:
