Accounting & Office Administrator
Responsibilities:
• Oversee invoice processing from receipt through payment, ensuring vendor accounts are accurate and current.
• Maintain supplier documentation, including tax forms and year-end records needed for compliance reporting.
• Support bookkeeping activities by updating financial transactions, assisting with ledger accuracy, and keeping accounting data organized in QuickBooks.
• Help administer payroll for a small employee population by reviewing timekeeping details and coordinating payroll-related updates.
• Reconcile bank and vendor statements, research discrepancies, and help preserve reliable financial records.
• Contribute to month-end activities by preparing supporting documentation, assisting with reporting, and handling additional accounting requests as needed.
• Coordinate onboarding tasks for new employees, collect required employment documents, and keep personnel files up to date.
• Assist with benefits and employee record administration while providing general HR support to staff and leadership.
• Manage daily office administration needs and contribute to special projects that support efficient business operations.
Qualifications:
• Prior experience in accounting, bookkeeping, office administration, or a related support role.• Working knowledge of accounts payable processes, invoice coding, vendor file maintenance, and account reconciliation.
• Experience handling W-9 documentation and 1099 preparation requirements.
• Proficiency with QuickBooks, including daily transaction entry and financial record upkeep.
• Familiarity with payroll support activities, including timesheet review and coordination with payroll systems such as ADP.
• Strong organizational skills with careful attention to accuracy and deadlines.
• Clear, detail-oriented communication skills and the ability to work effectively with employees, vendors, and leadership.
• Ability to manage multiple priorities and adapt to a fast-moving, growth-oriented environment.
