Administrative Assistant
Responsibilities:
• Record refined products trades and related revisions promptly and accurately in designated business systems, including handling more detailed transactions with limited oversight.
• Prepare, distribute, and track transaction confirmations while ensuring documentation is complete and aligned with internal standards.
• Examine external confirmations, identify variances, and resolve outstanding issues directly with appropriate parties.
• Create and maintain contract records across multiple platforms, keeping data organized, current, and consistent throughout the lifecycle of each agreement.
• Oversee the contract repository by monitoring important milestones, renewal dates, and other time-sensitive obligations.
• Coordinate contracts from internal review through final execution, ensuring approvals follow established authority and compliance guidelines.
• Drive initiatives that improve workflow efficiency, strengthen documentation practices, and support automation of administrative processes.
• Work closely with accounting and cross-functional stakeholders to support month-end activities, address operational questions, and maintain process adherence.
• Provide team support through knowledge sharing, procedural documentation, and backup coverage while serving as a reliable resource for daily issue resolution.
Qualifications:
• Experience in administrative support, office coordination, or contract administration within a fast-paced business environment.• Strong data entry skills with a high degree of accuracy and attention to detail.
• Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.
• Comfortable reviewing documents, identifying discrepancies, and following through to resolution.
• Proficiency working with business systems and maintaining records across multiple databases or applications.
• Effective communication skills, including the ability to collaborate with internal teams and external contacts.
• Experience supporting accounting close activities, contract tracking, or regulated processes is preferred.
• Background in administrative assistance, inbound call handling, receptionist support, or general office administration is beneficial.
