Administrative Assistant
Responsibilities:
• Arrive ahead of the scheduled meeting time to prepare, get oriented, and coordinate with onsite participants before the session begins.
• Record detailed notes during the board meeting, ensuring discussions are captured accurately and in real time.
• Track major comments, open questions, formal decisions, and assigned follow-up actions throughout the meeting.
• Differentiate speakers clearly in written documentation so the flow of conversation is easy to follow afterward.
• Organize notes into a clear, readable format with strong spelling, grammar, and punctuation.
• Handle all meeting content with discretion and maintain a detail-oriented approach when interacting with board members, residents, and leadership.
• Use the client-provided laptop to complete note-taking responsibilities efficiently during the onsite session.
Qualifications:
• Previous experience in a note-taking, scribe, executive support, or administrative support capacity is preferred.• Strong typing speed with the ability to capture detailed information accurately while conversations are happening.
• Excellent listening skills and the judgment to identify important discussion points and action items.
• High attention to detail and a consistent approach to producing precise written records.
• Strong written communication skills, including correct grammar, spelling, and punctuation.
• A detail-oriented demeanor and confidence working in meetings with executives, board members, and residents.
• Comfort working onsite in Palo Alto, California for an assignment lasting approximately 2.5 hours.
Compensation
