Department Overview

This position directly supports the Orthopaedic and Rehabilitation department objectives to provide excellent patient care through professional response to patient needs related to scheduling, referral coordination, authorizations, and surgical scheduling.  The PAS Coordinator provides leadership, training, standard work adherence, access work, expert guidance, and oversight for PAS and PAS Resource Specialists.  This position reports to the Clinical Operations Supervisor. 

Function/Duties of Position

Referral Processing

  • Review referrals to see if patients can be seen or if it requires medical review, additional information or immediate scheduling.
  • Assign ticket scheduling for patients ready and optimized

Managed Care – This position is responsible to back up surgery, clinical and DME authorizations for all surgical cases in the department. 

  • Ensures that department procedures are followed.
  • Serves as a back-up and resource for all other managed care in the department. 
  • Attends monthly Managed Care meetings.  

Fast Pass, Clinic Access, Same Day Access, Hospital FU work

  • Reviews templates daily, assigns fast pass as needed, ensure WQ’s for Hospital FU’s are being working daily and helps work it should it get backed up.
  • Scheduling Office Coordination - Provides leadership, expert guidance, and oversight of PAS Specialists and PAS Resource Specialists.
  • Clinic and Surgery Scheduling – Serves as a resource for all surgery scheduling.  Backs up clinic and surgery schedulers as needed and covers for leaves or position vacancies.  Verifies daily that all scheduling is being done promptly and meeting the department and Ambulatory standards for timeliness.  Answers scheduling phone line as needed.
  • Training and Competency – provides training and guidance to all PAS and PAS Resource staff.  Helps with onboarding new employees and services as a day-to-day resource.  Position assists with the hiring process for PAS Resource positions.  Works in junction with the PAS supervisor to investigate problems and counsel employees on performance issues.  Provides input to supervisor for employee performance evaluations.  Ensures that all PAS standard work is followed. 
  • Clinical Service Resource - Shares PAS expertise and disseminates information to the other PAS staff.  Serves as an expert user for all PAS systems and processes.  Provides direct customer service and leads by example.  Investigates clinic scheduling errors and other scheduling related issues.  Leads daily huddle in scheduling office and reports up to supervisor and manager.  Participates in work groups for performance improvement projects.  At times may lead small work groups for improvement projects
  • Other duties as assigned – including but not limited to trouble shooting equipment problems and initiates action with ITG as appropriate, ordering supplies, team leader for emergency safety, and administrative duties.

Required Qualifications
  • Two years of front-line clerical experience in a clinical setting with direct patient contact. Experience must include scheduling of appointments and may require experience obtaining managed care authorizations (dependent on position description).  Preference given to candidates with knowledge of OHSU’s PAS policies and procedures, with completed PAS training and core competencies, and with previous PAS experience

Preferred Qualifications
  • 2 year degree in healthcare administration or equivalent experience in medical office setting. 
  • Preference given to candidates with knowledge of OHSU’s PAS policies and procedures, with completed PAS training and core competencies, and with previous PAS experience. Prefer prior experience working in Orthopedic practice.    

Additional Details
  • Monday to Friday; varies 7:00 a.m. to 5:00 p.m. 8 or 10 hour shift option, telework. 
  • Must be able to sit at a computer for 8-10 hours per day.  Heavy phone use required.
