Accounting Assistant
Responsibilities:
• Process a high volume of vendor invoices with accuracy, ensuring proper coding, entry, and documentation within the accounting system.
• Review purchase orders against invoices and supporting records to confirm completeness and resolve discrepancies before payment processing.
• Assist with weekly payroll activities for approximately 50 employees, with primary payroll support concentrated at the beginning of each week.
• Prepare and maintain Excel-based reports to track payroll activity, invoice status, and other accounting metrics.
• Support month-end close tasks by organizing payroll records, reconciling financial information, and producing required reports.
• Monitor accounts payable and accounts receivable transactions to help maintain timely processing and accurate financial data.
• Perform bank and account reconciliations to identify variances and assist with correcting posting issues.
• Use Foundation Software and Microsoft Office tools to manage accounting data and support day-to-day departmental operations.
• Contribute to the department's ability to scale by maintaining organized workflows as employee counts and invoice volume increase over time.
Qualifications:
• Prior experience in an accounting support role with hands-on exposure to accounts payable, accounts receivable, or payroll processing.• Demonstrated ability to manage high-volume invoice entry while maintaining strong attention to detail and accuracy.
• Proficiency in Microsoft Excel and other Microsoft Office applications for reporting, tracking, and data management.
• Experience matching purchase orders to invoices and reviewing documentation for proper coding and approval.
• Familiarity with bank reconciliations and general accounting record maintenance.
• Experience with Foundation Software is preferred, particularly in a construction accounting environment.
• Knowledge of union-related payroll or accounting practices is helpful but not required.
• Ability to work onsite in Cleveland, Ohio and handle a structured Monday through Friday schedule.
Compensation
