Administrative Assistant
Robert Half is excited to partner with a leading Commercial Real Estate company in the Buffalo, NY area on their search for an Administrative Assistant to support the company President as well as other commercial real estate professionals. This is a Direct Hire position with wage of $22 - $25 per hour, a comprehensive benefits package, and a Mon – Thur 4-day work week of approximately 30-32 hours!
Responsibilities include but not limited to:
- Provide administrative support to the Company President, including calendar management, meeting coordination, correspondence, reports, presentations, expense reports, and special projects
- Coordinate the administrative processing of commercial real estate listings and transactions, maintaining accurate records, documentation, deal sheets, invoices, escrow deposits, and commission information
- Serve as the primary point of contact for clients, agents, vendors, and internal departments by managing phone calls, emails, visitors, mail, and providing exceptional customer service
- Support commercial agents by assisting with onboarding, maintaining personnel and licensing records, monitoring license renewals, and providing day-to-day administrative assistance
- Maintain organized electronic and physical filing systems, commercial forms, contact lists, office supplies, and vendor relationships to ensure efficient office operations.
- Partner with Accounting, Marketing, Operations, and other departments to ensure smooth business operations, timely communication, and compliance with company procedures
- Maintain strict confidentiality while managing multiple priorities in a fast-paced environment with exceptional organization, attention to detail, and professionalism
Qualifications:
- Preferred qualifications include 3+ years of administrative or executive support experience (commercial real estate experience is a plus,) proficiency with Microsoft Office, and the ability to quickly learn real estate specific software
