Compensation: $21 to $25 Hourly

We are looking for a highly organized administrative coordinator to support talent acquisition operations in Everett, Washington. This Long-term Contract position focuses on coordinating recruiting activities, managing interview logistics, and helping create a smooth experience for candidates and hiring teams. The role is well suited for someone who is detail-oriented, comfortable handling multiple priorities, and experienced in administrative support within a fast-paced environment.

Responsibilities:
• Coordinate interview scheduling across high-volume, panel, and executive calendars while balancing changing priorities and availability.
• Arrange travel plans for candidates, including flights, lodging, and ground transportation, to support onsite and final-round interviews.
• Prepare and share interview schedules, candidate information, and evaluation documents with interview teams in advance of meetings.
• Maintain accurate candidate activity records and status updates within the applicant tracking system and related tools.
• Review, submit, and monitor candidate expense reimbursements in alignment with company guidelines and established processes.
• Monitor coordination activity and scheduling metrics to support reporting needs and improve recruiting operations.
• Identify process inefficiencies and recommend practical improvements that enhance scheduling speed and the overall candidate experience.
• Provide ongoing administrative support for talent acquisition programs and assist with additional coordination needs as business demands change.
• Help ensure recruiting activities remain compliant with applicable employment laws as well as internal hiring policies and standards.

Qualifications:

• High school diploma or equivalent with 8 years of relevant experience, or a bachelor's degree with 4 years of relevant experience.
• Prior experience in talent acquisition coordination, administrative support, or intensive calendar management is preferred.
• Strong proficiency with Microsoft Office applications, including Excel, Word, and Outlook.
• Experience working with Workday or a comparable applicant tracking or information system is preferred.
• Ability to manage scheduling logistics, travel coordination, and multiple concurrent tasks with strong attention to detail.
• Effective communication and organizational skills to support candidates, recruiters, hiring managers, and leadership teams.
• Familiarity with reporting metrics, internet research, and standard hiring administration practices.

Compensation

$21.00-$25.00 Hourly
