Legal Billing Specialist
Responsibilities:
• Interpret client engagement terms and establish billing records that reflect approved fee structures and invoicing instructions.
• Administer alternative billing arrangements, expense charges, and retainer or trust activity to ensure accounts are handled accurately.
• Process electronic invoices and maintain related submissions such as rate updates, budgets, and dispute responses across multiple e-billing portals.
• Coordinate the full pre-bill workflow, including distribution, status monitoring, and follow-up with timekeepers to support timely completion.
• Prepare, revise, and finalize invoices while applying approved adjustments, credits, and write-offs in accordance with firm procedures.
• Monitor billing activity for adherence to outside counsel guidelines and internal standards, escalating issues when clarification is needed.
• Work closely with attorneys, accounting staff, and leadership to investigate billing questions, resolve discrepancies, and assist with client or audit requests.
Qualifications:
• Minimum of 7 years of legal billing experience within a law firm setting.• High school diploma or equivalent required; a bachelor’s degree is preferred.
• Hands-on experience with legal billing software and electronic billing platforms, with Aderant experience strongly preferred.
• Proficiency in Microsoft Excel, Outlook, and Word.
• Strong understanding of billing processes, invoice preparation, collections support, and computerized billing systems.
• Excellent organizational, analytical, and written and verbal communication skills.
• Ability to prioritize competing deadlines and work effectively both independently and in collaboration with others.
Compensation
