Office Assistant
Responsibilities:
• Welcome guests, clients, and team members with a courteous approach that creates a positive office experience.
• Manage meeting spaces by organizing conference room schedules, preparing rooms in advance, and confirming they are ready for use.
• Handle incoming and outgoing mail, deliveries, and shipments while ensuring timely distribution across the office.
• Keep the workplace running smoothly by replenishing supplies, arranging shared spaces, and supporting a clean, orderly environment.
• Prepare work areas and coordinate office logistics to help new employees transition into the workplace effectively.
• Assist with internal meetings and company events by supporting setup, coordination, and general administrative needs.
• Draft, format, and distribute routine office communications, documents, and correspondence as needed.
• Provide day-to-day administrative assistance to departments and leadership, including clerical support, document scanning, and phone coverage.
• Liaise with vendors and building management to address maintenance requests and follow through on office-related service needs.
• Support purchasing and invoice-related administrative tasks while contributing ideas to improve office processes and employee experience.
Qualifications:
• Prior experience in an office assistant, receptionist, front desk, or similar administrative support role.• Ability to manage inbound calls, greet visitors, and maintain a detail-oriented front office presence.
• Strong clerical and organizational skills with attention to detail in handling documents and office records.
• Experience scanning, filing, and processing paperwork accurately and efficiently.
• Comfortable coordinating multiple tasks, schedules, and office requests in a fast-paced environment.
• Effective written and verbal communication skills for interacting with employees, guests, and external partners.
• Proficiency with standard office tools and general administrative procedures.
• Reliable, service-focused, and able to work independently while supporting a collaborative team environment.
Compensation
