Office Administrative Assistant
Responsibilities:
• Coordinate day-to-day office activities to help maintain an efficient and well-organized workplace.
• Serve as a primary point of contact for visitors, callers, and community members, ensuring courteous and attentive communication.
• Support clerical projects by guiding volunteers and staff, assigning tasks, and helping work stay on schedule.
• Assist with meetings, fundraising activities, fairs, and other special events by preparing materials and handling administrative logistics.
• Maintain accurate paper and digital records, including files, invoices, donation tracking, and donor communications.
• Process payroll-related information, complete basic bookkeeping tasks, prepare bank deposits, and support routine financial documentation.
• Create reports, spreadsheets, presentations, flyers, and other materials using standard office software.
• Receive incoming mail, sort and distribute correspondence, manage office supply inventory, and place cost-conscious orders as needed.
• Help keep shared office areas clean, orderly, and ready for daily use while assisting with additional administrative projects as assigned.
Qualifications:
• At least 2 years of experience in administrative, clerical, receptionist, or office support work.• Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint, along with general computer and document scanning skills.
• Strong organizational skills with the ability to manage multiple priorities and maintain close attention to detail.
• Effective customer service, communication, and interpersonal skills for working with staff, volunteers, donors, and visitors.
• Ability to use standard office equipment and handle routine tasks such as inbound calls, filing, and correspondence management.
• Sound judgment, professionalism, and the ability to safeguard confidential information.
• Valid driver’s license and access to an insured vehicle.
• Experience with social media, Salesforce, or nonprofit organizations is preferred; an associate’s or bachelor’s degree is a plus, or equivalent practical experience.
Compensation
