Irrigation Administrative Assistant
Location: Sarasota, FL (Onsite)
Schedule: Monday-Friday, 6:00 AM-2:30 PM
Pay: $23-$26/hour
Employment Type: Contract-to-Hire
We are seeking a highly organized and detail-oriented Irrigation Administrative Assistant to support a busy operations team. This role is ideal for someone who enjoys coordinating schedules, managing permits and work orders, supporting billing processes, and serving as a key point of communication between the office and field technicians. Experience supporting a blue-collar, construction, landscaping, or irrigation environment is highly preferred.
Responsibilities:
Coordinate scheduling for irrigation wet checks, service calls, and technician work orders
Create and distribute service order tickets based on requests from Account Managers
Assist with permitting and administrative support for new installation projects
Create sales orders for new installs and work closely with home builders and internal teams
Review completed work logs and close out sales orders for billing
Enter invoices and create work orders in QuickBooks
Assist with technician timekeeping and coding using ADP
Support the transition to NetSuite by entering data into both systems during implementation
Provide general administrative support in a fast-paced operations office
Qualifications:
Previous administrative experience supporting construction, irrigation, landscaping, field services, or another blue-collar industry preferred
Bilingual (English/Spanish) required
Experience with scheduling, permitting, dispatching, or service coordination
QuickBooks experience preferred
Experience with ADP or timekeeping systems is a plus
Strong organizational skills with the ability to manage multiple priorities
Excellent communication and customer service skills

Qualifications:
• Prior experience in accounting support, accounts payable, accounts receivable, billing, or a closely related finance role.• Familiarity with QuickBooks for invoicing, transaction entry, or general accounting tasks is preferred.
• Working knowledge of Microsoft Excel, including the ability to sort, filter, and maintain structured spreadsheets.
• Strong accuracy and attention to detail when handling financial data and documentation.
• Effective written and verbal communication skills for coordinating with internal teams and customers.
• Ability to manage multiple priorities and stay organized in a fast-paced office environment.
• Experience with invoice processing, data entry, and routine accounting administration is highly valued.
Compensation
