Office Assistant
We are looking for a Spanish Bilingual Office Assistant to support daily administrative operations in a school setting. This opportunity is well suited for someone who enjoys creating an organized, welcoming front office experience for students, families, staff, and visitors. The role combines clerical support, communication, and student-facing administrative tasks in a fast-moving school environment. Success in this position requires attention to detail, cultural awareness, and the ability to manage multiple priorities with accuracy and care.
Responsibilities:
• Monitor attendance-related information, record absences and tardiness accurately, and keep student data updated in the school’s information systems.
• Welcome families, students, and visitors at the front office while creating a positive and detail-oriented first impression.
• Respond to questions from parents, guardians, and staff through phone, email, and in-person communication with a strong customer service approach.
• Complete administrative tasks such as preparing standard correspondence, organizing files, sorting mail, scanning documents, and maintaining records.
• Assist families with registration-related inquiries, return enrollment processes, and school engagement activities.
• Support student enrollment efforts by speaking with prospective families, providing clear information, and helping during occasional outreach or special events.
• Coordinate with school staff to maintain smooth day-to-day office operations and ensure timely follow-up on assigned tasks.
• Carry out additional office and clerical duties as needed to support the school team and operational priorities.
Qualifications:
• High school diploma required; an associate or bachelor’s degree is preferred.
• At least 1 year of experience in an office support, receptionist, or administrative role.
• Must be Spanish-Bilingual.
• Ability to handle inbound calls, reception duties, document scanning, filing, and other core clerical tasks efficiently.
• Strong organizational skills with close attention to detail and the ability to manage multiple deadlines in a fast-paced environment.
• Proficiency with Microsoft Office and Google Workspace; experience with Excel or Google Sheets is preferred.
• Effective interpersonal and written communication skills for working with students, families, and staff from diverse backgrounds.
• Spanish language skills are strongly preferred.
Compensation
