Facilities Coordinator 2
Responsibilities:
• Support daily facility operations by monitoring site conditions and helping address routine workplace needs in a timely manner.
• Partner with facility leadership and property management contacts to coordinate services, supplies, and general operational requirements.
• Prepare purchase orders, assist with service agreements and bid documentation, and help track vendor-related work from request through completion.
• Process and reconcile administrative financial tasks, including support for accounts payable and accounts receivable activities.
• Coordinate meeting logistics, conference room scheduling, and special event arrangements to ensure a smooth onsite experience.
• Schedule maintenance visits and follow up with vendors, building staff, and service providers to minimize disruption to business activities.
• Serve as a detail-oriented point of contact for employees, guests, and external partners, ensuring questions and service requests receive prompt follow-through.
• Help maintain site security-related procedures and assist with reports, budget requests, and variance tracking as needed.
• Provide administrative and project support to facility and project management teams, along with other assigned operational duties.
Qualifications:
• Associate degree in facilities management, business, building operations, or a related field; bachelor’s degree is preferred.• At least 2 years of experience in facilities coordination, property administration, or a similar support role.
• Strong customer service approach with the ability to communicate professionally with staff, visitors, vendors, and leadership.
• Proven ability to manage multiple priorities, stay organized under deadlines, and work effectively with limited supervision.
• Proficiency in Microsoft Office, including advanced Excel skills for maintaining spreadsheets and creating customized administrative reports.
• Working knowledge of procurement coordination, scheduling, reporting, and basic budget support processes.
• Solid written and verbal communication skills, with the ability to collaborate across teams and maintain professionalism in fast-paced situations.
Compensation
