Office Manager - Accounts Payable
Robert Half is partnering with a growing construction company seeking a highly organized and detail-oriented Office Manager / Accounts Payable Specialist. This is a temp-to-hire opportunity for someone who enjoys wearing multiple hats, thrives in a fast-paced environment, and has experience supporting both accounting and daily office operations. The ideal candidate will have strong accounts payable experience, excellent communication skills, and prior experience using NetSuite.
Responsibilities
- Process high-volume accounts payable invoices, including coding, matching, and vendor payments.
- Reconcile vendor statements and resolve invoice discrepancies in a timely manner.
- Maintain accurate vendor records and ensure compliance with company payment procedures.
- Assist with credit card reconciliations and other accounting support as needed.
- Manage day-to-day office operations, including ordering office supplies, coordinating vendors, and maintaining office organization.
- Answer phones, greet visitors, and provide administrative support to leadership and project teams.
- Assist with scheduling meetings, coordinating travel, and managing calendars when needed.
- Maintain digital and physical filing systems for accounting and operational documents.
- Support project managers with administrative tasks and document management.
- Assist with special projects and provide general office support as business needs evolve.
Qualifications:
Qualifications
- 3+ years of experience in accounts payable, office management, or a similar blended role.
- Construction industry experience strongly preferred.
- Experience with NetSuite is highly preferred.
- Strong Microsoft Excel and Microsoft Office skills.
- Excellent organizational and multitasking abilities.
- Strong communication and customer service skills.
- Ability to work independently while managing competing priorities.
- High attention to detail and accuracy.
Preferred Experience
- Construction accounting knowledge.
- Experience working with subcontractors, purchase orders, and vendor invoices.
- Familiarity with lien waivers, W-9s, and vendor compliance documentation is a plus.
