Pay Application Specialist
Position Summary
We are seeking a detail-oriented Pay Application Specialist to manage the preparation, submission, and tracking of customer billings and pay applications for commercial construction projects. The ideal candidate will have hands-on experience with AIA billing, lien waivers, contract compliance, and construction accounting processes. This position works closely with Project Managers, Accounting, and Customers to ensure accurate and timely billing while supporting healthy project cash flow.
Key Responsibilities
- Prepare and submit monthly AIA pay applications using G702/G703 forms.
- Review project contracts to ensure billing complies with customer and contract requirements.
- Track contract values, change orders, retainage, and progress billings.
- Coordinate with Project Managers to gather project completion percentages and supporting documentation.
- Process billing for multiple projects simultaneously while meeting customer deadlines.
- Prepare and distribute conditional and unconditional lien waivers.
- Monitor payment status and follow up on outstanding receivables.
- Reconcile billings, payments, retainage balances, and project contract values.
- Maintain accurate records of contracts, change orders, pay applications, and supporting documents.
- Assist with accounts receivable collections and cash application activities.
- Work with customers, subcontractors, and internal teams to resolve billing discrepancies.
- Support month-end close activities and reporting related to project billings.
- Ensure compliance with lien law requirements and customer billing procedures.
Qualifications:
Qualifications
- 3+ years of experience in construction billing, pay applications, or construction accounting.
- Strong experience with AIA billing (G702/G703) required.
- Knowledge of retainage, lien waivers, change orders, and progress billing.
- Experience with accounts receivable and collections.
- Proficiency in Microsoft Excel.
- Experience with construction accounting software such as Sage 100 Contractor, Sage Intacct, Viewpoint Vista, Foundation, Spectrum, CMiC, or similar systems.
- Strong organizational skills and attention to detail.
- Ability to manage multiple projects and deadlines in a fast-paced environment.
- Excellent communication and customer service skills.
Preferred Qualifications
- Experience working for a general contractor, subcontractor, or commercial construction company.
- Understanding of job costing and project accounting.
- Knowledge of construction contracts and billing compliance requirements.
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
Compensation
