Function/Duties of Position

This position plays an integral role in the support of the Division of Periodontology by performing a wide variety of advanced administrative and technical functions broadly divided among three areas: the Advanced Education Program in Periodontics, general division administration, and academic support for Periodontology. Provides administrative support to the Division Head, Program Director, Pre-Doctoral Director, and faculty, residents, dental students and staff working collaboratively with the central administration office. Additionally, this position may provide limited general administrative support to other SOD Leadership and Faculty as needed. Provides high quality customer service to both external and internal customers, including prompt and professional communication efforts including face-to-face customer contact. This position is expected to maintain patient confidentiality and other highly confidential division files. This position requires knowledge of OHSU policies and procedures to ensure a smooth flow of services and operations.


Required Qualifications
  • Four years of general office or secretarial experience; OR
  • An Associate's degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR
  • A Bachelor's degree and two years of general office or secretarial experience; OR
  • An equivalent combination of training and experience
  • Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience. Contact Compensation for confirmation of eligibility
  • Ability to work independently and as part of a team
  • Proven willingness to follow established procedures and protocols
  • Demonstrated proficiency in OHSU Systems: Oracle, Aceyus, SharePoint, MS Teams,Smartsheets, ExamSoft, axiUm, QGenda and Kronos
  • Exceptional communication skills and organizational skills
  • Detail oriented and committed to follow through
  • High level of initiative with the ability to work independently
  • Ability to exercise sound judgment in making decisions or dealing with unusual situations, especially those involving confidential matters
  • Exemplary customer service skills to serve both internal and external OHSU customers
  • Ability to multitask and prioritize tasks/duties under pressure and in a fast paced office environment
  • Outstanding interpersonal skills to interact professionally with residents, faculty, staff, and all levels of management
  • Knowledge and understanding of SoD, clinic and University administration
  • Proficient in Microsoft Office Excel, Word, PowerPoint and Microsoft Outlook
  • Exposure to clinical, educational, and research areas
  • May come in contact with patients
  • This position will be primarily onsite, Monday-Friday 8-5
