SUMMARY:
The Manager of Contracts Management and Bid Response is responsible for supporting contract negotiations, developing and managing processes across the entire contract life-cycle, and maintaining the reporting and compliance of all standard and non-standard customer contracts. The Manager of Contracts Management and Bid Response is also responsible for the RFI/RFP process and the direct management of Contracts and Bid Management analysts.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Support development and implementation of contract management processes/procedures including the creation and update of SOPs, definition of appropriate gate review steps and engagement of all relevant parties and stakeholders.
- Continuously review and improve the methodologies around data management and contract compliance.
- Further build up and continuously update a centralized contract and compliance function for all customer contracts; implement proper controls and audits of all contract and bid response activities.
- Maintain the central contract repository and document and monitor the key terms.
- Map existing/updated SOPs to ensure business continuity.
- Assign all contract management requests and manage progress/completion against internal/external SLAs; monitor internal KPIs and propose corrective actions.
- Support the annual rate action process in conjunction with other members of Commercial and Marketing senior management team.
- Support process automation/optimization efforts.
- Support internal and external audit activities.
- Act as liaison with Legal department and other stakeholders to review and approve especially non-standard contracts.
- Constantly monitor, update and enforce Commercial policies; ensure compliance and quality standards.
- Develop, document and enforce best practices for non-standard processes.
- Manage resources responsible for the preparation of customer RFI, RFP and RFQ responses.
- Manage various projects from start to completion based on guidance from management to improve customer profitability and mitigate commercial risk.
- Coordinate multi business unit RFP responses with various DHL business units.
- Responsible for hiring, coaching, training, and developing subordinate staff.
- Assigns work, sets completion dates, reviews work, and manages performance in accordance with organizational policies, procedures, and performance management processes.
EDUCATION AND/OR EXPERIENCE:
- Bachelor’s degree in Business Administration or related degree
- Legal or paralegal training would be a strong advantage
- 6 years of working experience is required in roles with a strong focus on details and organization in Legal, HR, Project Management, Client Relationship Management, or Procurement.
- Proficient in contract development, contract standards and language.
- Understanding of data analytics and its application; strong analytical skills.
- Experience in managing teams a plus.
- Experience managing Sr. Management stakeholders and working on matrix organizations.
- High degree of intellectual curiosity, energy, outstanding work ethic and commitment to excellence.
- Excellent communication and documentation skills.
- Able to work well under pressure, perform and manage multiple tasks simultaneously and meet deadlines.
- High level of attention to detail and quality.
- Familiarity with federal and state laws and regulations a plus.
- Legal contract experience a plus.
