Litigation Legal Secretary
Our client, a highly respected San Francisco law firm specializing in land use, environmental, and public interest litigation, is seeking an experienced Litigation Legal Secretary to join their team on a contract basis with the potential for long-term conversion based on mutual fit. This hybrid opportunity requires just 1–2 days per week onsite in the firm's San Francisco office and offers the opportunity to support attorneys handling complex land use, environmental, and public interest litigation before California state and federal courts and administrative agencies.
The ideal candidate will bring a strong litigation support background with the ability to independently manage California state and federal court filings, litigation calendaring, deadline management, advanced legal document production, and attorney support across multiple active matters. This role is ideal for someone who enjoys balancing high-level litigation support with firm administration, including attorney timekeeping, billing support, agency docket monitoring, and special projects, while working in a collaborative, mission-driven environment.
Responsibilities:
- Calendar litigation deadlines, schedule hearings, and coordinate attorney logistics across multiple active matters.
- Draft, proofread, format, and finalize pleadings, correspondence, motions, discovery, briefs, and other legal documents.
- Prepare, electronically file, and serve documents in California state and federal courts while ensuring compliance with applicable court rules and filing procedures.
- Generate Tables of Authorities (TOAs) and Tables of Contents (TOCs) utilizing advanced Microsoft Word styles and document formatting.
- Maintain attorney timekeeping records, assist with billing administration, and support other litigation and administrative initiatives as needed.
- Monitor agency agendas and dockets while supporting attorneys throughout all phases of litigation and administrative proceedings.
- Assist with firm administrative initiatives, including MCLE compliance, RFP/RFQ responses, and other special projects.

Qualifications:
- 3+ years of litigation legal secretary experience supporting California litigation matters.
- Strong knowledge of California state and federal court rules, calendaring, deadline calculation, and e-filing procedures.
- Advanced Microsoft Word proficiency, including document styles, Tables of Authorities (TOAs), and Tables of Contents (TOCs), as well as proficiency with Microsoft Outlook and PDF document management software.
- Excellent writing, proofreading, grammar, and organizational skills with exceptional attention to detail.
- Experience maintaining attorney timekeeping records and supporting billing administration.
- Ability to independently manage multiple priorities while working collaboratively within a team-oriented environment.
- Experience supporting land use, environmental, public interest, nonprofit, appellate, or CEQA matters is preferred but not required.
- Experience utilizing AI-assisted legal technology such as Claude or Harvey is a plus.
