Office Assistant
Responsibilities:
• Coordinate day-to-day administrative and front-office activities to support a dynamic workplace environment.
• Receive, sort, and process incoming mail, including scanning and filing invoices and other documents in an orderly manner.
• Prepare and distribute building access credentials for new tenants and support onboarding-related office needs.
• Show available desks and shared workspace options to prospective occupants in a clear and informative way.
• Maintain neat, stocked, and welcoming common areas to ensure a positive experience for tenants and guests.
• Check conference rooms and event spaces regularly to confirm they are clean, organized, and ready for use.
• Support the planning and execution of onsite events and mentorship sessions, including space setup and general coordination.
• Oversee the condition and functionality of both event areas and coworking spaces, addressing day-to-day operational needs as they arise.
• Help restore structure to office routines by stepping in where processes require additional organization and follow-through.
Qualifications:
• Previous experience in office support, reception, or administrative coordination within a detail-oriented environment.• Ability to manage document scanning, mail handling, and general clerical tasks with accuracy and efficiency.
• Comfortable answering inbound calls and assisting visitors, tenants, and internal stakeholders with professionalism.
• Strong organizational skills with the ability to prioritize multiple responsibilities in a fast-paced setting.
• Capable of maintaining clean, orderly shared spaces and recognizing when attention is needed.
• Clear communication skills and a customer-focused approach to supporting workplace operations.
• Dependable, proactive, and able to work independently while adapting to changing daily needs.
Compensation
