Executive Assitant
We are looking for a highly organized individual to provide senior-level administrative support in Minneapolis, Minnesota. This role is ideal for someone who can keep executive operations running smoothly by coordinating schedules, travel, meetings, and communications across several departments. The position also plays an important part in event planning, onboarding coordination, and improving day-to-day processes through the thoughtful use of productivity tools and technology.
Responsibilities:
• Support senior leaders across creative, design, production, business development, and strategy functions by handling a wide range of administrative priorities.
• Oversee demanding executive calendars, arrange meetings across teams and time zones, and address scheduling conflicts with sound judgment.
• Organize domestic and international travel plans, including transportation, lodging, and detailed itineraries that align with leadership schedules.
• Coordinate logistics for major industry events and leadership gatherings, including planning, scheduling, and assistance during key activities when needed.
• Create, refine, and format presentations, reports, and executive communications with accuracy and a high-quality standard.
• Submit and track expense reports for executives while ensuring compliance with internal guidelines and deadlines.
• Arrange recurring department and leadership meetings and help maintain smooth coordination among cross-functional partners.
• Assist with onboarding activities for new employees by managing orientation details and adding team members to meetings and communication platforms.
• Use AI-supported tools and emerging technologies to improve efficiency, streamline administrative workflows, and enhance operational effectiveness.
• Contribute to general office support and provide broader administrative assistance as business needs require
Qualifications:
• Bachelor’s degree or an equivalent combination of education and relevant experience.• At least 5 years of experience in an Executive Assistant or comparable administrative support position.
• Proven success supporting multiple senior leaders at the same time in a fast-paced environment.
• Demonstrated experience coordinating complex domestic and international travel arrangements, expense reporting, and meeting or event logistics.
• Strong communication, organization, and time-management skills with careful attention to detail.
• Ability to handle sensitive information with discretion, professionalism, and sound judgment.
• Proficiency with Microsoft Office applications, including Outlook, Excel, PowerPoint, Word, and Teams.
• Availability to work on-site in Minneapolis, Minnesota on Tuesdays, Wednesdays, and Thursdays, with flexibility for additional in-office days when needed.
Compensation
