Department Overview

The Practice Manager manages all clinical staff (Care Coordinator, LPN, MA, Clinical Support Assistant) and the RN student workers for Medical and Pediatric Dermatology and is responsible for managing the clinic flow in multiple locations (CHH1, CHH2, DCH, Happy Valley, Orenco and Lake Oswego). This position provides support to the Clinical Operations Director in the supervision, leadership, expert guidance, and training to the clinic support staff and administrative support staff. As Practice Manager, this position will be responsible for general clinic, operational, and facility management duties.

 

This position will serve as part of the Department leadership team and will report to the Clinical Operations Director.

 

This position directly supports >30 providers as well as 1 fellow, 15 residents, and rotating medical students in 4 multi-disciplinary clinics and at least 4 specialty clinics. It also supervises >50 staff (Clinical Operations Supervisor, Care Coordinator, LPN, MA, Clinic Support Assistant, and Nursing Student Workers) and assists Clinical Operations Director.

Function/Duties of Position

Personnel Management

  • Hires, orients, evaluates, and counsels all clinical staff (Care Coordinator, LPN, MA, Clinical Support Assistant) and the Clinical Operations Supervisor including administration of Grow Conversations and competency assessments
  • Assigns work schedules and work flow
  • Facilitates daily huddles with clinic staff

Clinical Operations Management

  • Supervises and ensures quality customer service to both external customers (patients, patient families, referring providers, insurance carriers, etc) and internal customers (OHSU healthcare providers and staff) that meets or exceeds the service standard of the health care industry.
  • Prompt and professional communication efforts

Clinical Operations Monitoring

  • Investigates clinic errors, patient volume and flow, and providers’ time utilization and reassigns staff to address bottlenecks
  • directs leads in monitoring clinic supply orders and proper par levels of supplies
  • Assists with requests for additional referral information as needed
  • Investigates patient and provider complaints and develops appropriate corrective action plans when necessary

Administrative

  • Assists the Clinical Operations Director in preparation of revenue and expense budgets for the clinical support staff. Including, but not limited to, information about support staff FTE, float coverage, office/clinical supply orders, floor stock medication orders
  • Troubleshoots equipment problems and initiates new equipment requests
  • Assists with and/or maintains equipment and space inventories

Required Qualifications
  • Bachelor’s in related field plus 2 year’s supervisory experience in a healthcare 
    or clinical setting, or equivalent education and experience.
  • Ability to work with EPIC, Oracle, Kronos, and MS Office Suite.
  • Current MA/LPN and BLS certifications

Preferred Qualifications
  • Previous experience managing clinic work flows. 
  • RN certification
