Accounts Receivable Specialist
Key Responsibilities
Accounts Receivable Management
- Prepare, process, and distribute invoices for events, facility rentals, memberships, sponsorships, educational programs, and other revenue streams.
- Monitor customer accounts and ensure timely collection of outstanding balances.
- Apply payments received via check, ACH, credit card, and other payment platforms.
- Research and resolve billing discrepancies, payment issues, and account inquiries.
- Maintain accurate customer records and supporting documentation.
Cash Receipts & Reconciliations
- Record and reconcile daily cash receipts and deposits.
- Reconcile accounts receivable subledger to the general ledger.
- Assist with monthly bank reconciliations and revenue reporting.
- Review transactions for accuracy and compliance with internal controls.
Financial Reporting
- Prepare accounts receivable aging reports and collection summaries.
- Monitor outstanding balances and proactively communicate collection concerns.
- Support month-end and year-end close activities.
- Assist with audit requests and provide required supporting documentation.
Collaboration & Customer Service
- Partner with departments including Development, Events, Membership, Visitor Services, and Operations to ensure accurate billing and revenue tracking.
- Respond professionally to internal and external customer inquiries.
- Assist with process improvements and documentation of accounting procedures.
Qualifications:
Required
- Bachelor's degree in Accounting, Finance, Business Administration, or related field.
- 3+ years of accounts receivable, accounting, or finance experience.
- Strong knowledge of accounting principles and AR best practices.
- Proficiency with Microsoft Excel, including pivot tables, VLOOKUPs, and data analysis.
- Experience with accounting and ERP systems.
- Excellent attention to detail and organizational skills.
- Strong verbal and written communication skills.
- Ability to manage multiple priorities and meet deadlines.
Preferred
- Nonprofit accounting experience.
- Experience supporting fundraising, memberships, events, or hospitality-related revenue streams.
- Familiarity with Sage Intacct, NetSuite, Blackbaud, Salesforce, or similar systems.
- Experience working in a museum, cultural institution, nonprofit, or visitor-focused organization.
Compensation
