Executive Assistant
We are looking for an organized Executive Assistant to provide high-level support to executive leadership for a growing company here Reno, Nevada. This Contract position combines executive coordination, office administration, and event support, requiring someone who can manage shifting priorities with professionalism and discretion. The ideal candidate will help keep meetings, vendor activities, and day-to-day administrative operations running smoothly while serving as a dependable resource for leadership and internal teams.
Responsibilities:
• Coordinate logistics for Board and executive meetings, including room preparation, meal arrangements, reservations, transportation support, and on-site setup and breakdown.
• Support leadership with a range of executive requests, such as package handling, errands, conference room scheduling, and follow-up on day-to-day administrative needs.
• Assist with the planning and execution of corporate and leadership events in partnership with internal stakeholders.
• Oversee office-related needs by helping arrange building maintenance services and stepping in to support front desk coverage when needed.
• Enter purchase orders accurately and promptly, confirm required approvals are in place, and receive goods or services as applicable.
• Manage vendor onboarding tasks, including collecting required documentation and confirming insurance or invoice support materials are complete.
• Retrieve invoices from vendor portals, partner with accounts payable or other teams on expense review, and maintain assigned purchasing card reconciliations.
• Provide administrative assistance to the legal and administrative teams, including processing branded merchandise requests and other special assignments.
• Respond to employee questions related to procedures, assist with issue resolution, and escalate technical system concerns to IT when appropriate.
• Maintain productive vendor relationships by communicating about billing details, payment terms, and related account matters.
Qualifications:
• Experience supporting senior executives, leadership teams, or board-level activities in an administrative or executive assistant capacity.• Strong calendar coordination and meeting management skills, with the ability to handle multiple priorities and schedule changes effectively.
• Background arranging travel and coordinating logistics for executive meetings, events, or business functions.
• Ability to manage purchasing, expense reconciliation, and administrative documentation with a high level of accuracy.
• Strong communication skills and the judgment to handle sensitive information with discretion.
• Comfortable working across departments and interacting with vendors, employees, and leadership in a service-oriented environment.
• Proficiency with common office systems and the ability to troubleshoot routine issues before escalating when needed.
• Highly organized and dependable, with the flexibility to assist with both strategic executive support and hands-on office tasks.
Compensation
