Conference Coordinator / Client Zone Coordinator
The Conference Coordinator is responsible for delivering an exceptional customer experience while managing meeting spaces, conference room reservations, and event support. This role serves as the primary point of contact for guests, employees, and executives, ensuring all conference center operations run smoothly and professionally.
Key Responsibilities
- Provide outstanding customer service and first impression for all visitors and guests.
- Manage conference room reservations and meeting schedules.
- Coordinate meeting and event logistics, including room setup, catering, and AV support.
- Ensure meeting spaces are properly prepared and ready prior to event start times.
- Respond promptly to reservation requests and manage shared mailbox inquiries.
- Conduct tours of the facility and assist visitors with directions and site information.
- Maintain conference and client-facing spaces, submitting work orders as needed.
- Partner with executives, admins, facilities, and security teams to ensure seamless operations.
- Handle sensitive and confidential information with discretion.
Qualifications:
- Strong customer service, communication, and interpersonal skills.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Experience supporting meetings, events, hospitality, or conference services.
- Ability to prioritize multiple tasks and work independently.
- Comfortable using AV equipment and virtual meeting platforms such as Teams or Zoom.
- Ability to remain flexible in a fast-paced environment.
- Able to lift up to 50 pounds and support occasional evening or weekend events.
Compensation
