Scheduling Coordinator

We are looking for a Scheduling Coordinator to support delivery planning and customer coordination for residential and commercial projects near Waunakee, Wisconsin. This Long-term Contract position is ideal for someone who thrives in a fast-paced logistics environment and can keep schedules, materials, and communication organized across multiple job sites. The person in this role will work closely with project teams, warehouse staff, installers, and customers to help ensure smooth deliveries and timely project execution.

Responsibilities:

• Coordinate project appointments with builders, homeowners, and internal project teams for both commercial and residential work.

• Organize delivery quantities by job phase, floor, or installation need so materials arrive in the correct amounts.

• Partner with warehouse and installation teams to align deliveries for cabinets, countertops, flooring, and appliances while reducing unnecessary site visits.

• Maintain daily contact with installers and delivery personnel to confirm completion status and support a positive customer experience.

• Provide regular updates to sales team members regarding project timing, progress, and related costs.

• Support the handling of service issues, repair requests, and claims by helping route information and scheduling follow-up activity.

• Assist with inventory coordination to help ensure required parts and materials are available for installation and service work.

• Adhere to workplace safety expectations and contribute to organized, compliant daily operations.


Qualifications:

• At least 1 year of administrative experience in a customer-facing environment such as logistics, operations, inventory, purchasing, or sales support.
• Prior scheduling experience within construction or a closely related industry is preferred.
• Experience working with customer management software or similar applications for at least 6 months is preferred.
• Proficiency with Microsoft Office applications used as part of daily administrative work.
• Strong communication skills in English, both written and verbal, with the ability to respond independently to internal and external requests.
• Basic math skills sufficient to manage order quantities, customer payments, and related transaction details.
• Ability to lift up to 10 pounds on a regular basis without restriction.
• Demonstrated ability to manage multiple priorities involving deliveries, transportation logistics, and administrative coordination.
