Front Desk Coordinator

Compensation: $22.80 to $26.40 Hourly

We are looking for an experienced Front Desk Coordinator to support daily office operations in California. This Contract position will serve as the first point of contact for guests, clients, and vendors while helping maintain an efficient and welcoming workplace. The ideal candidate brings strong administrative ability, sound judgment, and a detail-oriented communication style suited to a corporate environment.

Responsibilities:
• Welcome visitors, clients, and service providers with a courteous and detail-oriented approach that reflects the organization’s standards.
• Oversee front desk activity by managing guest sign-in, tracking arrivals, and promptly informing employees when visitors are on site.
• Keep the reception area neat, orderly, and presentation-ready throughout the day.
• Handle incoming and outgoing mail, package deliveries, and courier coordination to ensure timely distribution.
• Organize meeting room reservations and provide support for meeting setup when needed.
• Complete administrative tasks such as preparing documents, scanning records, filing materials, and making copies.
• Safeguard sensitive business and client information by exercising discretion in all front desk and office support activities.
• Assist with general office coordination and respond to routine inquiries, directing more complex matters to the appropriate team members.
• Manage inbound calls through a multi-line phone system and route messages accurately and efficiently.

Qualifications:

• Prior experience in a front desk, reception, concierge, or administrative support position within a detail-oriented office setting.
• Background in financial services, banking, wealth management, or a corporate office environment is preferred.
• Strong verbal and written communication skills with the ability to interact effectively with a wide range of contacts.
• Excellent organizational abilities and close attention to detail when handling multiple responsibilities.
• Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.
• Ability to manage competing priorities effectively in a fast-paced workplace.
• Detail-oriented demeanor, strong customer service skills, and the judgment to handle confidential information appropriately.

Compensation

$22.80-$26.40 Hourly
