Project Manager
Location: Grand Prairie, TX
FLSA Status: Exempt
As the Project Manager, you will serve as the primary point of contact for assigned customers while coordinating and communicating project requirements from order intake through manufacturing, shipment, and final delivery. This role is responsible for ensuring an exceptional customer experience by driving proactive communication, managing project schedules, coordinating cross-functional teams, mitigating risks, and delivering projects on time and within budget.
The Project Manager works closely with customers, contractors, architects, designers, sales representatives, engineering, production, shipping, and order intake teams to ensure successful execution of customer projects. The ideal candidate is highly organized, customer-focused, and thrives in a fast-paced manufacturing environment where ownership, accountability, and follow-through are critical to success. Based on the provided JD, the position reports to the Customer Experience Manager.
Essential Responsibilities
Customer Relationship Management
- Serve as the primary point of contact for assigned customers throughout the project lifecycle.
- Build strong customer relationships through responsiveness, accountability, professionalism, and consistent communication.
- Conduct daily outbound customer calls to provide project updates, answer questions, collect outstanding information, and ensure customer expectations are met.
- Maintain regular communication with contractors, architects, designers, sales representatives, installers, and customers.
- Escalate critical customer issues promptly while maintaining confidence through transparent, solution-oriented communication.
- Investigate and resolve customer concerns, project issues, and stakeholder requests with urgency and professionalism.
Project Planning & Execution
- Manage projects from order intake through manufacturing, shipping, installation coordination, and final delivery.
- Establish project objectives, schedules, milestones, priorities, and performance standards consistent with customer requirements and company policies.
- Demonstrate strong execution, ownership, and follow-through by ensuring customer commitments, project deliverables, and internal action items are completed accurately and on time.
- Prepare, maintain, and communicate detailed project schedules including milestone tracking and status updates.
- Monitor project performance and provide regular updates regarding schedule, budget, risks, and project health.
- Coordinate multiple projects simultaneously while maintaining attention to detail and customer satisfaction.
- Drive timely collection of customer approvals, specifications, deposits, drawings, and required documentation to prevent project delays.
- Ensure project requirements are properly communicated and executed across all functional areas.
Risk Management & Problem Resolution
- Proactively identify project risks, delays, scheduling conflicts, material constraints, and customer issues.
- Communicate potential concerns early and coordinate cross-functional teams to develop and implement solutions.
- Monitor project timelines and manufacturing schedules to ensure customer commitments are achieved.
- Resolve obstacles impacting quality, delivery, profitability, or customer satisfaction.
- Manage scope changes, schedule adjustments, and customer requests while maintaining project objectives.
Cross-Functional Coordination
- Collaborate closely with Engineering, Production, Shipping, Sales, Customer Service, and Order Intake teams to ensure seamless project execution.
- Initiate and maintain strong relationships with stakeholders and internal departments necessary to support project success.
- Facilitate project meetings and coordinate activities between customers and internal teams.
- Support efficient information flow between departments to minimize delays and ensure project accuracy.
- Represent customer requirements internally and ensure alignment across all project stakeholders.
Project Administration & Documentation
- Maintain detailed documentation of customer interactions, commitments, approvals, change requests, and project milestones within company systems.
- Interpret project documentation, specifications, drawings, blueprints, and take-off information.
- Prepare project reports, status updates, schedules, and related documentation.
- Utilize ERP systems and project management tools to track project performance and maintain accurate records.
- Ensure project documentation is complete, accurate, and compliant with company procedures.
Financial & Business Performance
- Understand project costing and profitability utilizing ERP systems and project data.
- Support project budget management and cost control initiatives.
- Monitor project activities to help ensure revenue and profitability objectives are achieved.
- Maintain knowledge of market conditions, customer trends, and product offerings to support project success.
- Assist with estimating and conceptual budgeting activities as needed.
Required Qualifications
Education
- Bachelor's degree in Construction Management, Engineering, Architecture, Business, Project Management, or a related field preferred.
- Project Management certification (PMP or similar) preferred.
Experience
- Minimum 2-3 years of project management experience in a manufacturing, construction, architectural products, building products, or similar environment.
- Experience managing multiple concurrent customer projects.
- Experience working with ERP systems and project management software.
- Experience coordinating cross-functional teams and customer-facing projects.
