Payroll Specialist
The Payroll Specialist is responsible for assisting with the accurate and timely processing of payroll for approximately 500–1,000 employees. This role ensures payroll transactions are completed in compliance with federal, state, and local regulations while maintaining the confidentiality of employee information. The Payroll Specialist works closely with Human Resources, Finance, and department managers to resolve payroll-related issues and provide excellent customer service to employees.
Essential Responsibilities
- Process weekly payroll for 500–1,000 employees with a high degree of accuracy.
- Review employee timecards, attendance records, and payroll data for completeness and accuracy.
- Enter and maintain payroll-related information, including new hires, terminations, pay rate changes, direct deposit updates, tax withholdings, and benefit deductions.
- Verify overtime, shift differentials, bonuses, commissions, and other earnings.
- Assist in ensuring payroll is processed in compliance with company policies and federal, state, and local wage and hour regulations.
- Research and resolve payroll discrepancies and employee inquiries in a timely and professional manner.
- Maintain employee payroll records while ensuring confidentiality and data security.
- Reconcile payroll reports and assist with payroll audits.
- Support year-end payroll activities, including W-2 preparation and payroll reconciliations.
- Assist with garnishments, child support orders, tax levies, and other required payroll deductions.
- Collaborate with Human Resources and Accounting to ensure accurate employee data and payroll reporting.
- Generate payroll reports and assist management with payroll-related analysis as needed.
- Participate in payroll process improvements and support implementation of new payroll procedures or systems

Required
- High school diploma or equivalent; Associate's degree in Accounting, Business Administration, Human Resources, or a related field preferred.
- 0–2 years of payroll, accounting, bookkeeping, or administrative experience.
- Strong attention to detail and organizational skills.
- Basic understanding of payroll concepts and employment tax regulations.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Strong mathematical, analytical, and problem-solving skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities and meet strict payroll deadlines.
- Ability to handle confidential information with professionalism and discretion.
Compensation
