Lease Administrator
Robert Half is seeking a Lease Administrator with experience managing lease agreements, operating expenses (OPEX), and capital expenditures (CAPEX) to support accurate lease administration, financial reporting, and occupancy cost management.
- Administer and maintain lease agreements for multiple properties and locations
- Review, abstract, and track critical lease terms including rent schedules, escalations, renewals, termination options, and operating expense provisions
- Manage lease database and ensure all lease records, amendments, and supporting documentation are accurate and up to date
- Calculate, reconcile, and process monthly rent payments in accordance with lease agreements
- Review and analyze Operating Expenses (OPEX) reconciliations and Common Area Maintenance (CAM) charges for accuracy
- Investigate and resolve discrepancies related to OPEX billings, rent charges, and landlord invoices
- Track and monitor Capital Expenditures (CAPEX) projects, ensuring compliance with lease requirements and budget approvals
- Review CAPEX-related invoices and support the allocation of capital costs across properties and business units
- Partner with Accounting and Finance teams to support monthly accruals, budgeting, forecasting, and financial reporting
- Prepare lease-related reports, schedules, and analyses for management review
- Assist with annual budget preparation, including occupancy costs, OPEX forecasts, and CAPEX planning
- Coordinate with landlords, property managers, vendors, and internal stakeholders to resolve lease and property-related issues
- Support lease audits and ensure compliance with company policies and lease obligations
- Monitor upcoming lease events and notify stakeholders of critical dates and required actions
- Maintain strong internal controls and documentation related to lease administration and financial processes
Qualifications:
- Bachelor's degree in Accounting, Finance, Real Estate, Business Administration, or related field preferred
- 3+ years of lease administration, real estate accounting, property accounting, or related experience
- Experience reviewing and managing OPEX reconciliations and CAPEX projects
- Strong understanding of commercial lease terms, CAM charges, and occupancy cost management
- Proficiency in Microsoft Excel, including VLOOKUPs, Pivot Tables, and data analysis
- Experience with lease administration software and ERP systems preferred
- Strong analytical, organizational, and problem-solving skills
- Excellent communication skills and attention to detail
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
Compensation
