Accounting Assistant

We are looking for an Accounting Assistant to join a team in Downers Grove, Illinois and provide reliable support for complex order processing and day-to-day accounting coordination. This Long-term Contract position is well suited for someone who thrives in a high-volume environment, works carefully with detailed transactions, and communicates effectively across finance, customer service, and operations. The role will contribute to accurate order flow, billing support, reconciliations, and month-end activities while helping maintain strong documentation and internal control standards.

Responsibilities:

• Handle detailed order entry activities for customized, high-volume transactions while maintaining speed and accuracy.

• Examine incoming orders to confirm pricing, coding, approvals, tax treatment, and supporting records are complete and correct.

• Record and update sales orders, purchase orders, credits, and other adjustments in internal accounting and order management systems.

• Partner with accounting, customer service, and operations teams to address issues involving invoices, shipments, billing discrepancies, and customer account information.

• Perform reconciliations and validate transaction data to support reporting connected to order processing activity.

• Research exceptions such as duplicate entries, incomplete information, and system-related errors, then take action to resolve them.

• Maintain organized documentation and follow established internal controls, compliance practices, and recordkeeping requirements.

• Assist with month-end close tasks related to invoicing activity, order flow, and revenue support as needed.

Qualifications:

• At least 3 years of experience in accounting support, order entry, billing, or a similar finance-related administrative role.
• Demonstrated success managing complex order entry work in a fast-paced business setting.
• Working knowledge of accounting processes such as accounts payable, accounts receivable, invoice coding, and bank reconciliations.
• Proficiency with QuickBooks, Microsoft Excel, and other business systems used for transaction processing.
• Strong analytical and organizational skills with the ability to identify discrepancies and resolve problems efficiently.
• Consistent attention to detail and a high degree of accuracy when handling large transaction volumes.
• Effective written and verbal communication skills for working across multiple departments.

Compensation

$23.75-$27.50 Hourly
