Position Description

Performs supervisory and coordinative work in the operation of a specific program or departmental project. Responsibilities involve the coordination and supervision of the various functions and aspects of a specific program as well as the monitoring of program staff and operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise program staff, volunteers and student assistants.

Major/Essential Functions

  • Reconcile purchases and reimbursements on card logs.
  • Schedule meetings, update CME, CVs and maintain leave time for physicians.
  • Transcribe letters dictated by physicians and send out clinic notes to referring physicians.
  • Enter the call schedule and provide updates to Qgenda for Covenant Payroll.
  • Make all travel arrangements for physicians, including registration.
  • Prepare Covenant On-Call Trauma invoices with breakdowns.
  • Input data into Faculty Success from the ongoing activities of the faculty to update the department website.
  • Maintain subscription, membership and license renewals and schedule new photographs for clinic use.
  • Coordinate with sales representatives to arrange outdoor dinner presentations/meetings for the department's physicians. Journal Club.
  • Organize numerous shadowing appointments with department physicians for medical and undergraduate students.
  • Process credentialing and reappointments for Covenant, Covenant High Plains Surgery Center, UMC, and the military for current reappointments and for new department faculty members and Staff (Nurse Practitioner).


Occasional Duties

Back up to answering department phones.

Required Qualifications

High school graduation plus five (5) years progressively responsible related experience; additional related education may exchange for required experience on a year for year basis.

Preferred Qualifications

  • Experience tracking CMEs for physicians.
  • Experience coordinating travel arrangements.
  • Experience in submitting reimbursements and reconciling purchases.
  • Experience working as a coordinator in a medical office or clinic.
