The Director of Operations will be responsible for the overall, internal day-to-day operations of our nationally recognized, Division I FCS football program. This position will support student-athletes and coaches in the overall development and operations of the program.

All duties must be completed in compliance with University, Conference, and NCAA rules and regulations.
Duties and Responsibilities:
Office Operations:
  • Manage and oversee all travel plans and logistical operations for the Football program. This includes but is not limited to planning ground transportation, air travel, hotels, and meals for the entire travel party.
  • Serve as primary football office representative with Athletics Facilities and Ops relative to scheduling practices and events. Primary contact for game management to streamline game day activities. Attend all game management meetings.
  • Work closely with football staff to assist with everyday tasks such as but not limited to study hall, ordering office supplies, and transportation for student-athletes.
  • Responsible for taking notes at staff meetings and circulating them.
  • Work closely with Athletics Student-Athlete Development team to plan and schedule productive community service activities.
  • Plan and organize all training table meals for the football program. Work closely with University Dining Services and/ Oakview Group to schedule meals.

Administrative, Staffing & Compliance Support:
  • Manage NCAA Compliance forms for the football program and ensure the program remains in compliance. Meet all compliance deadlines.
  • Responsible for maintaining contact information for student-athletes, parents, alumni of the program, and donors.
  • Support compliance with University policies and procedures.
  • Take active role in posting and recruiting new staff when there are open positions on the football staff. Support the orientation of new staff.

Financial & Business Office Support
  • Responsible for submitting budget requests through ARMS to the Athletic Business Office and reconciling expenses for team meal money, travel, and recruiting.
  • Approve and reconcile all invoices for football office expenditures.
  • Support responsible use of department funds.

Special Events (Recruiting, Banquets, etc.)
  • Responsible for the management and coordination of all aspects of the Football program special events including but not limited to the annual football banquet, the Lou Ferry Golf Outing, and Senior Day activities.
  • Organize all logistics for football recruiting weekends and official visits.
  • Promote and assist with on-campus bone marrow drive
  • Serve as liaison with Team Impact to ensure a good experience for our “team member”.

Marketing, Promotions, & Media Relations
  • Work closely with Athletics Marketing team to assist in the marketing and brand management of Villanova Football, including but not limited to game day atmosphere and in-game fan experience and marketing.
  • Work closely with Athletics social media/marketing team to establish a creative and more consistent presence and brand. Manage head coach and team social media accounts.
  • Attend and actively participate in all regularly scheduled marketing meetings to make sure the planned football branding and marketing is meeting program expectations. Responsible for sharing content of these meetings with football staff.
  • Work closely with Athletics Communications to maximize our web site presence and keep it current.

Other:
  • Perform other duties and assist with projects as assigned.
Minimum Qualifications:
Formal Education:
  • Bachelor’s Degree required.

Work Experience
  • 2 years working in a college sport program, preferably football.

Work Skills (e.g., written and verbal communication skills)
  • Strong organizational and communication skills.
  • Ability to pay close attention to details.
  • Ability to work collaboratively with professional staff and student employees.

Specific Job Knowledge (e.g., knowledge of principles and procedures related to field and area)
  • Familiarity with individual and team travel logistics.
  • Understanding basic budgeting principles.
  • General knowledge of NCAA rules.
  • Commitment to professionalism, confidentiality, and accuracy.
  • Proficiency with basic computer applications, including email, Microsoft Word, and Excel

Preferred Qualifications:
Work Experience:
  • Experience working in Football office.
  • Experience with travel logistics for teams.

Specific Job Knowledge:
  • Familiarity with University or departmental policies and procedures.
  • Experience supporting compliance, record keeping, or customer service in a higher education setting.

Salary Posting Information:
This position falls within salaried grade 14 and the range is $61,100-$64,500. The final salary will be determined with consideration of several factors including the selected candidate’s qualifications, department budget availability, market data, and internal equity.
