The successful candidate will serve as a trusted extension of the Office of the CEO, exercising independent judgment, anticipating needs, managing competing priorities, and driving complex matters to resolution with minimal oversight.
This position reports to the Executive Director of the Office of the CEO and works in close partnership with both the Executive Director and the CEO to ensure effective management of the CEO's professional and personal priorities. Serving as a key member of the Office of the CEO, this role works alongside the Executive Director to provide seamless, coordinated executive and personal support to the CEO.
Key Responsibilities:
- Support the CEO by ensuring optimal workflow, efficiency, and time management through the strategic coordination and prioritization of complex schedules with internal and external stakeholders.
- Partner closely with the Executive Director of the Office of the CEO to coordinate priorities, ensure continuity of executive support, and effectively manage the CEO's professional and personal activities.

- Apply the utmost discretion to sensitive and confidential company and personal information that others may not be privy to.
- Organize, synthesize, and prioritize large volumes of information while maintaining accuracy and discretion.
- Arrange complex domestic and international travel for the CEO and direct family members, both business and personal, including visas, passports, transportation, lodging, and concierge services.
- Develop detailed itineraries and agendas for all trips.
- Manage and respond to telephone calls, email requests, and written correspondence on behalf of the CEO, as appropriate.
- Coordinate directly with legal, tax, insurance, and advisory teams across multiple jurisdictions, including the U.S., U.K., Australia, Japan, and Costa Rica.
- Assist with workflows relating to tax coordination, insurance matters, fiduciary documentation, and estate-planning preparation.
- Process and oversee executive expense reporting and approvals using Concur and related systems.
- Create and maintain filing systems (e.g., contacts database, calendars, and related records), both electronic and paper.
- Maintain detailed records pertaining to personal real estate holdings, both domestic and international.
- Maintain a high level of service even when directing inquiries away from the CEO to help better manage their calendar and activities.
- Anticipate the CEO's needs by proactively identifying issues, preparing materials, and ensuring appropriate follow-up on key priorities and commitments.
- Manage the CEO's calendar and daily workflow, independently evaluating competing priorities, making informed decisions regarding scheduling and availability, and determining when matters require escalation or direct CEO involvement.
- Serve as a key gatekeeper for the CEO, independently evaluating requests, balancing competing priorities, and exercising discretion in determining appropriate access, timing, and escalation.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, determining appropriate course of action, referral, or response.
- Take ownership of complex projects, requests, and issues from inception through completion, coordinating across stakeholders, removing obstacles, and ensuring timely execution with minimal oversight.
- Communicate with senior executives, board members, external advisors, and staff on the CEO's behalf while coordinating logistics for high-level meetings and events.
- Reflect the CEO's style and company culture when conducting activities.
- Manage requests for the CEO's time and attention while ensuring key issues and concerns are effectively addressed.
- Leverage emerging technologies and AI-enabled workflow tools to improve organization, efficiency, and operational coordination.
- Lead and execute ad hoc projects independently, identifying priorities, developing solutions, coordinating stakeholders, and proactively resolving issues while keeping key partners appropriately informed.
- Provide support on a variety of ad hoc matters related to household operations and family management.
Professional Qualifications, Skills and Experience:
- Minimum of 7+ years' experience supporting C-suite executives, principals, or senior executives in a fast-paced corporate, family office, or similarly complex environment.
