Description
The Human Resources (HR) Assistant at CSUF Auxiliary Services provides reception and administrative support to the Human Resources/Payroll Department. Reporting to the Human Resources Supervisor, this position supports accurate recordkeeping and documentation for employees and assists with maintaining the confidentiality and integrity of personnel records and HR-related information.
Essential Duties
- Receive incoming mail and documents and distribute to appropriate HR Personnel.
- Photocopy and/or scan material as needed
- Review and collect I-9 documents for all hires
- Process E-Verify for all hires and collect reverification documents.
- Follow established policies and confidentiality requirements to safeguard sensitive information

- Screen incoming telephone calls and route calls appropriately
- Photocopy, print, and scan material and information as required
- Maintain strict adherence to department procedures and processes
- Review weekly Titan Training Hub report and send Past Due Training (PDT) notifications to employees and supervisors to ensure compliance with required training.
- Prepare and submit check requests for department.
- Run and maintain employee driving reports to verify active licenses and insurance coverage for employees, ensuring compliance with organizational policies.
- Accurately enter and update employee information in the HR/Payroll (HRIS) system, including but not limited to hires, terminations, wage changes, benefits, I-9 documentation, volunteers, account changes, and extensions.
- Update and maintain clear and detailed procedures and guidelines for essential functions.
- Assist employees with general inquiries regarding HR policies, procedures, and resources. Ensuring customer service is conducted in a courteous and professional manner to all employees and visitors.
- Distribute payroll checks.
- Perform additional responsibilities as required to support the HR department and organizational objectives.
Qualifications
- Minimum one (1) year of progressively responsible human resources or general clerical experience. Human resources experience is preferred. A bachelor’s degree in Human Resources or a related discipline may be accepted in lieu of the one (1) year experience requirement.
- Demonstrated good judgment and problem-solving skills.
- Customer-service orientation with a high level of professionalism and discretion.
- Experience working in higher education is preferred.
- Ability to multitask and work effectively in a fast-paced office environment.
- Strong organizational skills, attention to detail, and ability to manage time effectively.
- Strong oral and written communication skills.
EDUCATION:
- Minimum High School Diploma or equivalent. Minimum Bachelor’s degree, preferred.
PHYSICAL DEMANDS:
This position works primarily in a professional office environment and requires frequent use of standard office equipment, including computers, telephones, photocopiers, and filing cabinets. The role involves prolonged periods of sitting while performing computer-based tasks, reviewing documents, and attending meetings, with occasional standing and walking for filing, front desk support, and related office duties. Frequent use of hands is required to operate a keyboard, mouse, and other office equipment, and to handle and organize documents. The employee may occasionally need to lift and carry office supplies or documents weighing up to 20 pounds.
