The Role

The Senior Operations Administrator is a key exempt-level role responsible for ensuring client compliance with Living Wage Ordinance (LWO) regulations across the Healthcare and Government/Municipality sectors. This position oversees the compilation and timely submission of monthly and annual LWO documentation and may direct the work of Operations Coordinators who support audit data collection. The role requires independent judgment, discretion, and strong problem-solving skills to manage the full audit cycle, ensuring submissions are accurate and on time.

 

In partnership with the Director of Administration, this role also leads efforts to document and improve department workflows, align administrative functions with organizational goals, and implement strategies to streamline operations, reduce inefficiencies, and enhance overall performance.


WHAT YOU WILL DO

· Oversee client compliance with Living Wage Ordinance (LWO) reporting, ensuring accurate and timely data entry with consistent communication and integrity.

· Coordinate cross-departmental and field communications to collect LWO-required data in preparation for client reporting and audits.

· Manage Union non-merit anniversary increases monthly

· Address non-compliance by identifying gaps, providing training and guidance, and reinforcing adherence to established procedures, policies, and contract terms.

· Review payroll, production, and other relevant records to monitor compliance with job-specific criteria.

· Provide the Accounting department with necessary job codes to ensure correct allocation for expenses incurred during the employee badging process

· Provide oversight and guidance to Operations Coordinators responsible for data entry and compliance tasks; train and support team members as needed.

· Collaborate closely with internal departments to support seamless administrative processes and ensure timely, accurate client compliance submissions.

· Understand and communicate client contract requirements, CBAs, and administrative procedures to team members and operations leadership.

· Schedule and participate in Operations team meetings, including preparation of agendas, documentation of minutes, and follow-up on action items.

· Manage logistics and ensure effective communication between Corporate and field operations to align on responsibilities, deliverables, and deadlines.

· Oversee the Certificate of Insurance (COI) collection process in coordination with vendor management and other applicable departments.

· Partner with the Director of Administration to document, analyze, and optimize departmental workflows for efficiency and performance improvement.

· Generate monthly DHS status reports for Senior Operations leadership

· Perform other duties and special projects as assigned


What It Takes To Be Successful

· Previous experience in a lead administrative role with a focus on client compliance adherence and accurate data entry expected

· Strong organizational skills

· Exceptional detail orientation and accuracy

· Demonstrated ability to self-audit, and audit work entered by others for accuracy

· Excellent oral and written communication skills, bilingual Spanish a plus

· Demonstrated ability to effectively manage competing priorities, keep focused under pressure, and meet deadlines

· Demonstrated ability to learn, interpret, explain, and apply company and client contract requirements, policies, and regulatory requirements

· Demonstrated ability to train others in systems, processes, and procedures

· Demonstrated ability to manage sensitive information and maintain confidentiality

· Proficiency in Microsoft Office programs required with advanced expertise in Excel preferred

· 4+ years’ experience with data entry in systems/databases, creating, maintaining, and exporting reports

· Microsoft Office Suite

· Salesforce, UKG, a plus

Clearance: Based on client needs may require specific clearance or background check and badging

Environment: Office environment with extended computer use, sitting, walking, standing, climbing, reaching, stretching, twisting, leaning, stooping and bending. Job requires minimum twice/week work in Culver City office, subject to business needs. May require travel to Carson Warehouse, other job sites or locations as needed for meetings, training, projects or special events. May require occasional work on other shifts, holidays or weekends. If working from home, must set up workspace taking ergonomics into consideration
