Position Summary
Ava is seeking to hire a part-time Associate Board Clerk reporting to the Sr Legal Director & Deputy General Counsel. This role will join the Legal Team and support board clerking operations. The role includes coordinating board activities with the Clerk of the Board. This position is integral to ensuring the seamless operation of board activities. The ideal candidate is diligent, team-oriented, eager to learn, and demonstrates strong soft skills and organizational skills. Preferred candidates will have experience in public-sector clerking. Position Details
Essential Duties and Responsibilities:
  • Assist the Clerk of the Board with meeting preparations, documentation, and follow-up actions
  • Serve as backfill for the Clerk of the Board during absences
  • Independently clerk committee meetings as assigned by the Clerk of the Board
  • Prepare correspondence, documents, and agendas for board related meetings in accordance with the Brown Act
  • Provide administrative support to the Clerk of the Board, including maintenance of monthly and yearly schedules and checklists as well as other process documents
  • Assist in maintaining the databases for the Board/Committee Membership, Actions, and compliance documents
  • Attend and clerk select Board, Committee and special meetings and take notes; edit drafts for composition and grammatical structure. Clerking meetings will involve managing virtual Zoom meetings and occasional travel to offsite meeting locations
  • Handle confidential information which has not yet been made public
  • Assist with Board and staff form 700 Filing
  • Research Public Records request in compliance with the California Public Records Act
  • Coordinate Board member attendance at meetings and subcommittee meetings
  • Other duties as assigned
Minimum Qualifications:
  • A bachelor's degree with at least 1-2 years of work experience; relevant associate's degree with at least 2-3 years of work experience; or high school degree or equivalent with at least 3-4 years of work experience
  • Relevant fields: Legal, Business Administration, or a related discipline
  • Relevant experience: Experience in public-sector clerking or similar
  • Working knowledge of basic software programs, including Microsoft Office applications, SharePoint, and Confluence
  • Experience with Excel or Google Sheets for data management and analysis
  • Ability to learn quickly, work independently, and think critically
  • Strong organizational and communication skills
  • Demonstrated patience, tact, and courtesy in interactions with internal staff and external parties
Stipend
This is a nonexempt position with a starting rate of $40.68 an hour for roughly 20 hours per week.

Location and Working Conditions
This position is based at Ava headquarters in Oakland, near BART. Ava's team has a hybrid approach inclusive of in-office and remote work. This role is typically in-office from Tuesdays, Thursdays, and the first Wednesday of the month. We are not providing sponsorships currently.

Licenses/Certificates
Possession and continued maintenance of a valid class ā€œCā€ California driver license and a safe driving record, or the ability to provide alternate transportation.
