Legal Secretary
Responsibilities:
• Oversee the organization and upkeep of physical and digital client records to ensure they remain accurate, accessible, and aligned with retention standards.
• Prepare, revise, and polish legal correspondence, memoranda, and other case-related documents with close attention to formatting and accuracy.
• Coordinate attorney calendars, schedule appointments, and help manage inbox activity to support timely communication and follow-up.
• File, retrieve, and store documents within document management platforms, including systems such as iManage, to maintain efficient access to matter-related information.
• Assist with court and electronic filings, making sure submissions are completed accurately and within required deadlines.
• Support paperless administrative processes by tracking document flow, facilitating file closure, and helping maintain records compliance.
• Handle dictation and transcription tasks as needed, turning attorney notes into clear, thorough documentation.
Qualifications:
• High school diploma or equivalent is required; additional college education is preferred.• At least 3 years of experience in a legal secretarial or similar administrative support role, ideally within a law firm setting.
• Proficiency with Microsoft Office, legal word processing tools, calendaring software, and document management systems; experience with iManage is preferred.
• Demonstrated ability to manage court filings, e-filing procedures, and related legal administrative tasks.
• Strong typing, proofreading, grammar, and written communication skills with a consistent focus on accuracy.
• Excellent organizational skills with the ability to prioritize multiple assignments and meet deadlines under pressure.
• Capable of working independently to resolve routine issues while also collaborating effectively with attorneys and team members.
