Job Summary-
The Commercial Title & Closing Specialist manages all aspects of title examination, survey review, and closing coordination for commercial real estate transactions. Operating within the Real Estate or Transactions department, this role serves as the primary point of contact across buyers, sellers, lenders, title companies, surveyors, and local counsel to ensure transactions close accurately, on time, and in full compliance with contractual requirements. This position does not require attorney supervision and does not constitute the practice of law.
Essential Functions-
Title Examination & Clearance — Review title commitments, Schedule B exceptions, and chain-of-title reports for commercial properties; draft objection letters and coordinate curative measures with title underwriters, sellers, and counsel to resolve defects prior to closing.
Survey Review & Coordination — Order and review ALTA/NSPS Land Title Surveys; identify encroachments, easements, access issues, and discrepancies between survey findings and title commitments; coordinate corrections and recertifications with surveyors within transaction timelines.
Closing Coordination & Execution — Serve as central coordinator for all pre-closing and post-closing activities including document preparation, condition tracking, ALTA settlement statement review, execution coordination, recording, and title policy issuance; manage closings from contract through final file assembly.
Due Diligence Management — Coordinate ordering, receipt, and tracking of third-party due diligence reports (environmental, zoning, UCC searches, municipal liens); maintain due diligence status matrices and ensure all deliverables are received and reviewed within contractual timeframes.
Lease & Document Review — Review and abstract commercial leases, easement agreements, and REAs for title-relevant provisions; prepare and coordinate estoppel certificates and SNDA packages; maintain lease critical date tracking for properties under contract or in the active portfolio.
Knowledge, Skills, and Abilities-
Title & Survey Expertise — Demonstrated ability to independently examine title commitments, Schedule B exceptions, and ALTA/NSPS surveys; identify defects, clouds, and encumbrances; and coordinate curative actions with underwriters and counsel.
Closing & Transaction Management — Hands-on experience preparing and executing commercial real estate closings including ALTA settlement statements, post-closing file assembly, and multi-party coordination across buyers, sellers, lenders, and title companies.
Attention to Detail & Accuracy — Ability to manage high volumes of concurrent transactions with a high standard of accuracy; meticulous document review, exception tracking, and deadline management across a pipeline of 10–20+ active transactions.
Communication & Stakeholder Management — Strong written and verbal communication skills; ability to interface professionally with attorneys, lenders, title underwriters, field personnel, and transaction counterparties to keep all parties informed and aligned.
Technology Proficiency — Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with closing/title software such as SoftPro, RamQuest, ResWare, or Qualia preferred; comfort with document management systems and electronic closing platforms.
Education and Experience-
Associate's or Bachelor's degree in Real Estate, Business, Legal Studies, or related field preferred; High school diploma or GED required.
Minimum 3+ years of direct commercial real estate title examination and closing experience at a title company, escrow firm, real estate developer, or corporate real estate department.
No required certifications. Title agent license or notary commission preferred (state-specific).
Valid driver's license. Title agent license where applicable (preferred, not required).
