The Executive Assistant to support our CEO and Chief of Staff will serve as the leader of the Executive Assistant function across the company. This is a highly visible role for a seasoned professional who thrives in fast-paced, dynamic environments and can operate with discretion, judgment, and confidence at the highest levels of an organization.
The successful candidate will be a strategic business partner to the CEO's office, capable of managing complex priorities, coordinating global activities, supporting Board interactions, and driving operational excellence across executive support functions.
Key Responsibilities:
Executive Support
- Provide comprehensive support to the CEO and Chief of Staff, managing highly complex calendars, competing priorities, and strategic scheduling decisions.
- Coordinate extensive domestic and international travel, often on short notice, including detailed itineraries, logistics, briefing materials, and contingency planning.
- Prepare and manage executive meeting agendas, briefing documents, presentations, and follow-up actions.
- Serve as a trusted gatekeeper and advisor, ensuring the CEO's time is allocated effectively against strategic priorities.
- Anticipate issues before they arise and proactively develop solutions in a rapidly evolving environment.
Leadership of Executive Assistant Function
- Lead and coordinate the company's Executive Assistant team, establishing best practices, processes, and standards across executive support activities.
- Mentor and develop EA staff while fostering a culture of collaboration, responsiveness, and professionalism.
- Drive consistency and operational excellence in executive support across the organization.
- Partner with senior leaders to continuously improve executive operations as the company scales.
Board of Directors Support
- Support the CEO, Chief of Staff, and Corporate Secretary in planning and executing Board and committee meetings.
- Coordinate logistics, materials, communications, and meeting preparation for the company's independent Board of Directors.
- Maintain confidentiality and professionalism when interacting with Board members and senior advisors.
- Assist with Board-related travel, meeting scheduling, and follow-up activities.
Executive and External Engagement
- Act as a primary point of contact for internal and external stakeholders on behalf of the CEO's office.
- Build effective relationships with executive offices across customers, partners, investors, government organizations, and peer companies.
- Interface confidently and professionally with fellow CEOs, Board members, investors, and senior executives.
- Support executive events, leadership offsites, customer engagements, and strategic company initiatives.
Operational Excellence
- Drive special projects and cross-functional initiatives on behalf of the CEO and Chief of Staff.
- Manage sensitive and confidential information with the highest level of discretion.
- Create structure and organization amid ambiguity while maintaining exceptional attention to detail.
- Help scale executive office processes to support the company's rapid growth trajectory.
YOU MUST HAVE:
- Bachelor’s Degree minimum
- 10+ years of experience supporting C-level executives, including significant experience supporting a CEO or equivalent senior executive.
- Experience working within a publicly traded company, preferably during periods of rapid growth, transformation, or post-IPO scaling.
- Demonstrated experience supporting Board of Directors activities and executive governance processes.
- Proven success managing complex domestic and international travel schedules.
- Experience leading or coordinating executive support teams.
- Exceptional organizational, communication, and project management skills.
- Strong executive presence, judgment, and interpersonal skills.
- Ability to operate effectively under pressure and adapt quickly to changing priorities.
- Absolute discretion and integrity in handling highly confidential information.
- Advanced proficiency with Microsoft Office, Outlook, PowerPoint, Teams, and modern collaboration tools.
- Due to Contractual requirements, must be a U.S. Person defined as, U.S. citizen permanent resident or green card holder, workers granted asylum or refugee status.

$80,000 - $120,000 a year
