Northrop Grumman is seeking an experienced Administrative Assistant to support the Vice President (VP), Regional Executive Europe and Middle East in our Corporate Office, Falls Church, Virginia location.

As a key member of the Northrop Grumman Corporate team, the VP Administrative Assistant will provide high-level administrative support to a VP and other senior executive team members as needed. The VP Administrative Assistant serves a critical role in planning, coordinating, and managing the executive schedule and outreach, meeting arrangements, travel, documentation, and projects.

The ideal candidate is experienced, proactive, and highly detailed oriented, with strong communications skills and a knack for relationship building at all levels.  While this role does not require 24/7 availability, flexibility is essential to supporting a VP executing extensive international travel, and some occasional off-hours support will be needed due to global time zones and travel schedules.

This position requires the VP Administrative Assistant to perform advanced administrative duties with exposure to sensitive information necessitating tact, diplomacy, discretion, and judgment. Strong integrity is essential, and the candidate must be comfortable working in a high energy, collaborative, diverse, professional environment.

The position reports directly to the Corporate VP, Regional Executive for Europe and Middle East, while also providing support to other senior executive team members as needed. 

The position requires onsite work at our Headquarters in Falls Church, VA.

Roles and responsibilities of the VP Administrative Assistant will include (but not be limited to) the following:

  • Provide administrative support to the VP and other senior executive team members as needed.

  • Proactively manage complex executive calendars, including scheduling and prioritizing meetings, resolving conflicts, and serving as the interface with customer, US Government, and foreign government scheduling entities.

  • Coordinate multi-leg international and domestic travel, filing travel reimbursements and reports.

  • Handle details of a highly confidential and critical nature.

  • Collect and prepare information for use in discussions/meetings of executive staff and outside individuals.

  • Prepare presentation materials for leadership meetings.

  • Make high level contacts of a sensitive nature inside and outside the company.

  • Work on problems of diverse scope where analysis of data requires evaluation of identifiable factors.

  • Exercise judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.

  • Facilitate program meetings, executive meetings, and customer visits.

  • Demonstrate a wide and comprehensive acquaintance with, and understanding of, both general and specific aspects of the job and their practical application to complex problems and situations ordinarily encountered at the executive level.

  • Operate independently to meet requirements of leadership team and offering expertise to assist other functions within organization.

  • Lead or coordinate small projects and process improvements (e.g., standardizing templates, streamlining approval workflows, improving document tracking and records management).

  • Support planning and execution of both on- and off-site meetings and events, including invite management, room/venue coordination, transport, access to premises, security clearances, technology support, and material preparation.

  • Assist events and activities of major organization initiatives.

  • Report generation and compilation.

Basic Qualifications:

  • High School Diploma and 6 years of relevant experience in the administrative professional field or Associate's Degree and 4 years of relevant experience in the administrative professional field OR Bachelor's degree and 2 years of relevant experience in the administrative professional field.

  • Understand the sensitive nature of working in the executive office and have good judgement, problem solving skills and maintain the highest levels of confidentiality.

  • Ability to work independently, foresee needs, be proactive, and take ownership of issues and tasks with minimal direction, including recommending solutions and next steps to leadership.

  • Comfortable operating in a fast-moving environment and managing information flow in a timely and accurate manner.

  • Demonstrated ability to manage multiple administrative projects and initiatives; experience in supporting a variety of executive levels, management level and administrative support within an organization.

  • Computer skills required include advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook and Excel), intranet/internet proficiency.

  • Proficiency using AI tools for research and productivity.

  • Experience with Concur (or similar) travel and expense reporting system.

  • Experience proofreading and correcting documents for grammatical errors.

Preferred Qualifications:

  • Bachelor's or Associate's degree preferred.

  • Familiarity with Northrop Grumman’s specific systems (SAP, Concur, Facilities requests, IBUY, etc.).

  • Knowledge of NGC resources, policies, and procedures.

  • Experience and proficiency with Concur (or similar) travel and expense reporting system.

  • Ability to swiftly adapt to new tools/technologies including AI tools to synchronize and integrate activities across the global team.

  • Active DoD clearance preferred, but not required for consideration

Primary Level Salary Range: $79,100.00 - $131,900.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
