Position Overview

We are seeking a dependable, highly organized, and detail‑oriented Construction Administrator to support our federal construction operations. This role plays a critical part in ensuring compliance with government contract requirements by supporting preconstruction activities, managing project documentation, assisting with federal billing processes, and maintaining accurate records in accordance with applicable regulations.

The ideal candidate has experience working in a federal construction environment and understands the importance of accuracy, confidentiality, and regulatory compliance.

Key Responsibilities

  • Provide administrative support to federal preconstruction and estimating teams, including:
    • Proposal development for government solicitations
    • Preparation and management of RFIs
    • Assembly of bid packages and submission documents
    • Maintenance of bid logs, compliance checklists, and tracking spreadsheets
  • Support federal project billing processes, including:
    • Review of Certified Payrolls for Davis‑Bacon compliance
    • Processing and tracking subcontractor pay applications including compliance documentation to include lien waivers, SF1413, COIs
    • Assisting with documentation required for government invoicing
  • Maintain organized and accurate project files in compliance with federal contract requirements
  • Assist with compliance documentation related to FAR, agency guidelines, and internal controls
  • Communicate professionally with internal teams, subcontractors, and government stakeholders in written and verbal formats
  • Manage multiple deadlines and priorities while working independently
  • Perform detailed clerical and administrative tasks with a high degree of accuracy and confidentiality
  • Remain adaptable and composed in deadline‑driven, audit‑ready environments
  • Support team members and office operations as needed
  • Utilize construction and office technology efficiently, including word processing, spreadsheets, databases, presentation software, and federal systems (e.g., RMS, WAWF)

Qualifications

  • High school diploma required; college degree preferred
  • Minimum of five (5) years of administrative experience, preferably in construction
  • Prior experience supporting federal construction projects strongly preferred
  • Working knowledge of Certified Payroll and Davis‑Bacon requirements preferred
  • Experience with federal systems such as PIEE, WAWF and RMS is a plus
  • Strong attention to detail and understanding of compliance‑driven workflows
