Operations Specialist

We are looking for a detail-oriented Operations Specialist to join a team in Philadelphia, Pennsylvania in a Contract to Permanent role. This position supports day-to-day operational activity by coordinating order processing, documentation, billing tasks, and communication tied to incoming goods and outbound shipments. The ideal candidate is comfortable working in a structured environment, enjoys keeping processes organized, and can contribute ideas that improve efficiency over time.

Responsibilities:
• Process customer and internal orders accurately while maintaining organized transaction records.
• Prepare invoices, verify supporting documents, and reconcile order details with receipts and related paperwork.
• Track incoming goods and ensure receiving information is documented correctly and promptly.
• Support basic bookkeeping and collections activities, including following up on outstanding items when needed.
• Coordinate with trucking contacts, vendors, and internal team members regarding materials and delivery activity.
• Work with raw material and shipment information to help maintain smooth operational flow.
• Use spreadsheets and operational systems to review data, update records, and monitor routine tasks.
• Identify opportunities to improve workflows and help build more efficient, dependable procedures.
