Executive Assistant
Responsibilities:
• Review the executive calendar at the beginning of each week, anticipate meeting needs, and prepare materials and workspace arrangements for both in-person and virtual sessions.
• Coordinate board-related committee activities by maintaining agendas, organizing records, and ensuring documentation is updated and distributed on schedule.
• Record, track, and maintain meeting minutes and supporting files so leadership and committee members have accurate, accessible information.
• Assist in preparing executive-level reports and dashboard updates by gathering details, organizing content, and assembling presentation or meeting packets.
• Distribute materials to stakeholders in advance of meetings, including agenda packets that must be shared within established timelines.
• Monitor incoming mail each day, sort correspondence, and elevate time-sensitive or important items for leadership review.
• Follow up with external vendors to confirm outstanding items, maintain communication, and support timely completion of requests.
• Enter and maintain data within spreadsheets, dashboards, and administrative systems using Microsoft Office tools and emerging AI-enabled resources where appropriate.
