Executive Assistant
We are looking for an accomplished Executive Assistant to support a senior operations leader and contribute to the success of multiple teams within a dynamic organization in Colorado Springs, Colorado. This contract-to-permanent position is ideal for someone who brings sound judgment, strong organization, and the ability to keep high-priority work moving in a fast-paced environment. The role combines executive-level administrative coordination, project follow-through, and cross-functional support while handling sensitive information with professionalism and discretion.
Responsibilities:
• Provide comprehensive administrative support to a senior operations executive by organizing priorities, coordinating communications, and monitoring follow-up items across business initiatives.
• Work closely with department leaders and team members to help maintain momentum on operational projects and ensure deadlines are met.
• Track divisional spending and revenue activity, assist with budget monitoring, and coordinate updates with finance partners as needed.
• Manage vendor administration tasks such as reviewing invoices, routing approvals, coordinating payments, and maintaining productive external relationships.
• Prepare and process expense reports, contracts, and invoice documentation with a high level of accuracy and timeliness.
• Oversee complex scheduling needs, including executive calendars, meeting logistics, conference space arrangements, and coordination with internal support teams.
• Arrange business travel plans, including airfare, lodging, ground transportation, and related itinerary details.
• Create and refine presentations, reports, correspondence, meeting materials, and executive documentation, including board-facing content when required.
• Maintain departmental records, collaboration site content, and secure document filing systems while safeguarding confidential information.
• Partner with other administrative professionals to provide coverage, improve support processes, and assist with special projects and organizational events.
