Receptionist
Responsibilities:
• Welcome guests, manage the reception area, and create a positive first impression for everyone entering or contacting the office.
• Handle a multi-line phone system, route incoming calls appropriately, and respond to general questions with courtesy and accuracy.
• Receive, sort, and distribute incoming mail and packages, including daily postal items, certified mail, and shipments from carriers such as FedEx and UPS.
• Prepare outgoing mail and coordinate deliveries to ensure documents and packages are sent on time.
• Support email communication by responding to routine administrative inquiries and directing messages to the appropriate departments.
• Maintain office supply levels, place replenishment orders as needed, and help keep shared administrative resources organized.
• Enter invoice information, apply proper coding, and assist with routing items through the approval process.
• Review invoice details for accuracy, escalate discrepancies or payment issues, and help track customer and vendor invoice records.
• Assist with document handling and file organization using tools such as Google Docs and Google Drive.
Qualifications:
• Previous experience in a receptionist, front-desk, or administrative support role.• Ability to manage high-volume inbound calls using a multi-line telephone system.
• Experience handling incoming and outgoing mail, packages, and certified shipments in an office environment.
• Working knowledge of invoice entry, coding, approvals, and basic issue resolution.
• Strong written and verbal communication skills for phone interactions, email correspondence, and visitor support.
• Proficiency with Google Docs, Google Drive, and general office software.
• Strong organizational skills with the ability to prioritize multiple tasks and maintain accuracy.
• Detail-oriented demeanor, dependability, and a customer-focused approach to service.
Compensation
