Administrative Assistant
We are looking for an organized Administrative Assistant to provide day-to-day support to senior leadership in Pittsburgh, Pennsylvania. This Long-term Contract position focuses on keeping executive schedules, communications, and office operations running smoothly in a fast-paced environment. The role is primarily onsite Monday through Thursday with remote work on Fridays, and it is well suited to someone who is attentive to detail, responsive, and comfortable managing multiple priorities. Pay range $20-$23/hr.
Responsibilities:
• Coordinate complex calendars and scheduling needs for multiple senior executives, ensuring meetings and priorities stay organized.
• Arrange travel plans, itineraries, and related logistics for leadership team members as needed.
• Support office operations by handling incoming mail, distributing materials, and helping maintain an efficient administrative workflow.
• Organize catering and meeting support for internal events, executive meetings, and special gatherings.
• Prepare, update, and manage documents, spreadsheets, and correspondence using Microsoft Office applications.
• Enter and maintain donor-related information in Microsoft Dynamics with accuracy and attention to detail.
• Provide general administrative assistance that helps executives stay focused on strategic and operational priorities.
• Assist with front-desk and receptionist-style tasks, including answering inbound calls and directing inquiries appropriately.
Qualifications:
• Prior experience in an administrative support, office assistant, or executive support role.• Ability to manage schedules, coordinate logistics, and handle competing deadlines effectively.
• Proficiency with Microsoft Office, including Outlook, Word, and Excel.
• Experience with data entry and maintaining accurate records in business systems or databases.
• Strong verbal and written communication skills, including clear and courteous phone etiquette.
• Comfortable supporting senior leaders and handling sensitive information with discretion.
• Ability to work onsite Monday through Thursday and remotely on Fridays.
Compensation
