Legal Secretary

A construction litigation law firm in Oakland is seeking a Legal Secretary to join the team on a contract-to-hire basis. This is an onsite position offering the opportunity to support a busy litigation practice, with openness to training candidates who have a solid civil litigation foundation and are looking to further develop their legal secretarial skill set.

Responsibilities

• Provide administrative and legal support to attorneys handling construction litigation matters
• Prepare, format, and proofread legal documents, including pleadings, motions, and correspondence
• Assist with e-filing in both state and federal courts
• Create and format Tables of Contents (TOCs) and Tables of Authorities (TOAs)
• Manage attorney calendars, including tracking deadlines, court dates, and filings
• Maintain and organize case files (electronic and physical)
• Coordinate with clients, opposing counsel, and court personnel as needed
• Support day-to-day office and administrative functions in a fast-paced environment

Qualifications:

Qualifications

• Prior experience in a legal support role (legal secretary or legal assistant) preferred
• Background in civil litigation required (construction litigation a plus)
• Familiarity with state and federal e-filing procedures
• Experience formatting legal documents, including TOCs/TOAs
• Strong calendaring and deadline management skills
• Highly organized with strong attention to detail
• Professional communication skills and ability to work collaboratively
• Must be willing to work fully onsite in Oakland
